How to Assess Voice AI for Your Service Business
Questions to answer before introducing a voice AI agent for handling calls and booking enquiries.
The Hype vs. Reality
Voice AI is genuinely useful for service businesses: it can answer simple questions ("Do you service this postcode?"), log customer details, and offer to book an appointment. It can handle calls after hours when your team is offline.
But it's not a replacement for a person. It's a first filter. The bar is low for success: if it answers routine questions and routes complex ones to a human, it's working.
Before You Deploy an AI Agent, Answer These
1. What Calls Do You Actually Get?
Spend a week recording (with customer permission) or noting:
- What percentage of incoming calls are routine? (e.g., "Do you service my postcode?" "What's your price?")
- What percentage need a person? (e.g., emergency repairs, complex questions, angry customers)
- How long is the average call?
- How many calls come after hours?
If 70%+ of calls are routine, an AI agent will save time. If 50% or less are routine, the benefit is smaller.
2. Can You Handle It Going Wrong?
An AI agent occasionally:
- Misunderstands the customer (mishears a postcode, misunderstands the service needed).
- Gives outdated information (if the agent's data isn't kept current).
- Frustrates customers who want to speak to a person immediately.
Can your team recover from these? Is your recovery process clear? Will customers be annoyed?
If you're already under-resourced and your team is frustrated, adding an AI agent without fixing the underlying issue will just add another problem.
3. Can You Keep the Data Current?
An AI agent is only as good as the information it has. If you change prices, add a new service area, or shift your hours, the agent needs updating immediately. This is ongoing maintenance.
If your team doesn't have 2–3 hours per month to maintain the agent's knowledge base, don't deploy it.
4. What's Your Budget?
Voice AI agents cost:
- Setup: £1,000–5,000.
- Monthly: £200–1,000+ depending on call volume and features.
- Maintenance: 2–3 hours per month (your time or a consultant's).
The break-even point is typically £10–15 per call saved or routed well. If you're handling 50 calls per month and 35 are routine, an agent might save you 15–20 hours per month. At £15/hour (your time), that's £225–300 in value.
If the agent costs £500/month, the math doesn't work unless it's handling 35+ routine calls per month or improving conversion dramatically (e.g., booking more appointments).
5. Will Your Customers Accept It?
Some customers prefer voice AI (faster, available 24/7). Others are frustrated by it and hang up. This varies by business type and customer base.
If you're a premium service (architect, high-end consulting), customers expect to speak to a person. An AI agent can frustrate them.
If you're a high-volume service (plumbing, HVAC, fast delivery), customers often prefer speed. An AI agent booking a quick appointment works well.
When an AI Agent Makes Sense
- You handle 50+ calls per month, and 70%+ are routine.
- You're losing calls after hours or during busy times.
- Your team is spending 5+ hours per week on routine enquiry calls.
- Your business can support 2–3 hours per month of maintenance.
- Your customers are willing to start with AI and escalate to a person if needed.
When It Doesn't
- You handle fewer than 30 calls per month.
- Your calls are complex (each one is unique; no patterns).
- Your team is already at capacity and won't benefit from freed-up time.
- Your budget doesn't allow for the monthly cost.
- Your customers expect to speak to a person immediately.
If You Decide to Deploy One
Start Small
Deploy for a single, simple task first: answering "Do you service this postcode?" and booking a consultation. Don't try to handle pricing, complex troubleshooting, or complaints in the first version.
Test It Yourself
Before customers interact with it, have your team and customers test it. Can they understand it? Does it get their postcode right? Does it know when you're closed?
Monitor the First Month
Track:
- Calls handled entirely by AI (success).
- Calls escalated to a human (analyze why—did the AI misunderstand, or was the call genuinely complex?).
- Customer feedback on the AI experience.
- Time saved by your team.
Be Ready to Turn It Off
If the agent is frustrating customers or not handling calls well, turn it off. Don't let a bad AI experience damage your reputation. It's better to handle calls manually than to have customers hang up on a frustrating bot.
Tools That Work
- Eleven Labs (voice synthesis).
- Retell AI (voice agent platform for service businesses).
- Google Voice AI.
- Twilio Studio (DIY voice automation).
Most are aimed at businesses handling 50+ calls per month.
The Human Factor
The best AI deployments have a clear handoff to a human. The customer gets a fast answer to their routine question, and if they need to talk to someone, the AI hands them over immediately without repeating information.
That handoff is worth more than the AI itself.
